## Privacy Policy

We take confidentiality seriously. Here's exactly what we collect, how we use it, and how we protect it.

Effective Date: April 1, 2026

Quality Confidential is committed to protecting your privacy. This Privacy Policy explains what information we collect when you visit our website or contact us, how we use it, and how we keep it safe. We do not sell personal information.

Section 1

### Who We Are

Quality Confidential, LLC is a quality and regulatory consulting firm headquartered in Pollocksville, North Carolina. We serve pharmaceutical, biopharmaceutical, and medical device companies through a global network of senior-level consultants. For questions about this Privacy Policy, contact us at [info@qualityconfidential.com](mailto:info@qualityconfidential.com).

Section 2

### Information We Collect

We collect information in two ways: information you provide directly, and information collected automatically when you visit our website.

**Information you provide directly:**

- Name and professional title
- Company name and industry
- Business email address and phone number
- Information shared in contact forms, consultation requests, or email correspondence
- Information provided in connection with an active consulting engagement

**Information collected automatically:**

- Browser type, device type, and operating system
- IP address and approximate geographic location
- Pages visited, time spent on pages, and navigation paths
- Referring website or search query that brought you to our site
- Form interaction data (e.g., which forms were viewed or submitted)

We do not knowingly collect sensitive personal data such as health information, financial account numbers, or government-issued identification numbers through this website.

Section 3

### How We Use Your Information

Information you provide is used solely for legitimate business purposes, including:

- Responding to your inquiries and consultation requests
- Managing and delivering consulting engagements
- Sending relevant service information, thought leadership content, or event invitations (with your consent or where we have a legitimate business interest)
- Maintaining our client relationship records in our CRM system
- Improving our website, content, and service offerings
- Complying with legal obligations

We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects.

Section 4

### Cookies and Analytics

Our website uses cookies and similar tracking technologies to understand how visitors use the site and to improve the experience over time.

**We use the following tools:**

- **HubSpot** — Our website and CRM platform. HubSpot places cookies to track site visits, form submissions, and contact interactions. This helps us understand engagement and follow up appropriately with people who have expressed interest in our services.
- **Google Analytics 4 (GA4)** — We use GA4 to track aggregate website traffic, page performance, and visitor behavior. Data is anonymized and used for site improvement only.

Most browsers allow you to refuse or delete cookies through browser settings. Disabling cookies may affect some website functionality but will not prevent you from accessing content. We do not use cookies to serve advertising.

Section 5

### How We Share Information

We do not sell, rent, or trade your personal information to third parties.

We may share information with trusted service providers who assist us in operating our website and delivering services. These include:

- **HubSpot, Inc.** — CRM, website hosting, email, and marketing automation
- **Google LLC** — Analytics (GA4) and productivity tools
- **Microsoft Corporation** — Email and document management (Microsoft 365)

These providers are contractually obligated to use your information only as directed by us and in accordance with applicable privacy laws.

We may also disclose information when required by law, court order, or regulatory authority, or when necessary to protect the rights, safety, or property of Quality Confidential, our clients, or others.

Section 6

### Client Engagement Confidentiality

Information shared in the context of a consulting engagement — including audit findings, regulatory correspondence, CAPA documentation, quality metrics, and internal business information — is held in strict confidence. This is a foundational commitment of Quality Confidential.

We do not reference client names, display client logos, or publish client case studies without explicit written permission. Specific confidentiality obligations for each engagement are governed by the applicable engagement agreement or mutual non-disclosure agreement.

Section 7

### Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy, or as required by applicable law. Specifically:

- Contact and inquiry records are retained for up to three (3) years from last interaction unless an active engagement extends that period
- Engagement-related records are retained for a minimum of seven (7) years following engagement completion, consistent with standard business record-keeping practice
- Website analytics data is retained in accordance with the default retention settings of the applicable platform (Google Analytics, HubSpot)

You may request deletion of your personal information at any time, subject to any legal retention obligations we must fulfill.

Section 8

### Your Privacy Rights

Depending on your location, you may have rights regarding your personal information, including:

- **Access** — Request a copy of the personal information we hold about you
- **Correction** — Request that inaccurate or outdated information be updated
- **Deletion** — Request that we delete your personal information, subject to legal retention requirements
- **Opt-out of marketing** — Unsubscribe from marketing communications at any time using the link in any email we send, or by contacting us directly
- **Data portability** — Request your information in a commonly used, machine-readable format where technically feasible

Residents of California, the European Economic Area, the United Kingdom, and other jurisdictions with specific privacy laws may have additional rights under applicable regulations including CCPA and GDPR. To exercise any of these rights, contact us at [info@qualityconfidential.com](mailto:info@qualityconfidential.com). We will respond within thirty (30) days.

Section 9

### LinkedIn and Third-Party Outreach Platforms

We use LinkedIn and related outreach tools to connect with quality and regulatory professionals. When you connect with us on LinkedIn or respond to an outreach message, your name, job title, company, and any information you share in conversation may be recorded in our CRM to support follow-up and relationship management.

LinkedIn's own Privacy Policy governs how LinkedIn collects and uses your data on their platform. We encourage you to review LinkedIn's privacy practices directly.

Section 10

### Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, disclosure, or misuse. These include:

- SSL encryption on our website (HTTPS)
- Access controls limiting who can view personal data within our systems
- Use of enterprise-grade, SOC 2-compliant platforms (HubSpot, Microsoft 365)
- Staff practices that reflect our culture of confidentiality and discretion

No method of transmission over the internet is completely secure. While we take data protection seriously, we cannot guarantee absolute security. In the event of a data breach affecting your information, we will notify affected individuals as required by applicable law.

Section 11

### Third-Party Links

Our website may contain links to third-party websites including industry organizations, regulatory agencies, and professional associations. This Privacy Policy applies only to qualityconfidential.com. We are not responsible for the privacy practices of linked external sites and encourage you to review their policies before submitting any personal information.

### Children's Privacy

Our website and services are directed exclusively at business professionals and are not intended for individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently received such information, we will delete it promptly.

Section 13
